CANCELLATION BY CLIENT
GENERAL CANCELLATION
If the event is cancelled more than three (3) months prior to the event, the confirmation payment will be refundable. Should the event be cancelled within three (3) months of the function date, the confirmation payment will be non-refundable.
If, you postpone your event and take up another date at the same or another venue at another time, the confirmation payment paid will be carried forward to the new date.
DUE TO INCLEMENT WEATHER
Given the unpredictable nature of weather, Catering Dept. would always recommend an alternative weather plan be put in place in the event of inclement weather.
If, as a direct result of inclement weather activity, you decide to cancel your event, although White Tie Catering Ltd’s kitchen is still available and useable, you will be liable for all the costs incurred in the purchase of food products/ingredients purchased and/or prepared and available to you. These will be charged at wholesale food prices only and are to cover out of pocket costs incurred by White Tie Catering. You will not be charged full event prices.
Any costs incurred by Catering Dept. for hireage items arranged by White Tie Catering Ltd on your behalf, will be passed on to you at a reduced rate. You will not be charged full event prices.
We fully appreciate making a decision about cancelling or postponing your event will be a stressful occasion, however we do reserve the right to stipulate the timeframe in which this decision will be made.
DUE TO EARTHQUAKES
We fully understand the need for clarity at this difficult time whilst we live with ongoing earthquake events in Christchurch. Our immediate priority will always be the needs, comfort and safety of our Clients and their guests. To this end, we have drawn up additional Terms and Conditions in relation to events relating to seismic activity (i.e. earthquakes/aftershocks) to assist our Clients.

General:
For venues, an agreement should be reached at the initial planning stages with the specific venue about confirmation refunds in the case of seismic activity.
If, however, as a direct result of a seismic activity, you decide to cancel and the venue you have selected is actually still functioning and accessible, you will not be issued a refund of your confirmation payment from the venue.
If as a direct result of seismic activity you decide to cancel your event Catering Dept. will refund the confirmation payment paid. If, however, you postpone your event and take up another date at the same or another venue at another time, the confirmation payment paid will be carried forward to the new date.
If as a direct result of seismic activity your event is cancelled and due to loss of electricity, loss of access to the property or any other issues which relate to seismic activity, the food products purchased and/or prepared for your event spoil, you will not be liable for costs incurred.
If, however, as a direct result of seismic activity you decide to cancel your event although Catering Dept's kitchens and venue is still available and useable, you will be liable for all the costs incurred in the purchase of food products/ingredients purchased and/or prepared and available to you. These will be charged at wholesale food prices only and are to cover out of pocket costs incurred by Catering Dept. You will not be charged full event prices.
If as a direct result of seismic activity hireage items arranged by Catering Dept. are damaged, these costs will be covered by insurance. However, your own hireage items or items you have specifically arranged to be used at your event are your own responsibility and should be insured accordingly as these items if damaged will be at your own risk.
We fully appreciate making a decision about cancelling or postponing your event will be a stressful occasion however we do reserve the right to stipulate the timeframe in which this decision will be made.
‘LEFTOVER’ FOOD
Catering Dept. Food Safety Plan is fully documented and available on request. The company is audited at regular intervals by our local council bodies and any policy relating to food and its production at Catering Dept. is strictly adhered to at all times – this policy is not open to flexibility or negotiation.

All costs are GST exclusive and subject to change
We reserve the right to pass on to our client, any increase in costs incurred by us. Please feel free to make contact with me if you are concerned about this.
